This fully remote role is ideal for a logistics-savvy professional who thrives in fast-paced environments, is comfortable managing multiple timelines, and can own everything from seminar planning to grand openings to leadership retreats, while keeping budgets and travel schedules on track.Â

Corporate Events & RetreatsÂ
- Coordinate internal events such as executive offsites, leadership retreats, holiday parties, and company celebrationsÂ
- Work directly with the Executive team to align goals, structure agendas, and manage travel for multi-day eventsÂ
Travel & Schedule CoordinationÂ
- Own end-to-end travel planning and calendar coordination for key stakeholders attending eventsÂ
- Book and manage travel arrangements (flights, hotels, ground transport) for team members, speakers, and leadershipÂ
- Anticipate and resolve logistical challenges with minimal oversightÂ
Budgeting & ReportingÂ
- Build and manage detailed event budgets with a focus on ROI and cost controlÂ
- Track actuals vs. budget, process vendor invoices, and prepare post-event recaps including cost and engagement metricsÂ
Cross-Functional CollaborationÂ
- Partner with the Marketing team to drive attendance, create event materials, and manage follow-up communicationsÂ
- Maintain accurate attendee lists, track RSVPs, and report on event engagementÂ
- Coordinate with Compliance and Clinical teams as needed for CE or licensure-relevant eventsÂ
Requirements
What You BringÂ
- 4+ years experience in event planning, logistics, or program coordination, ideally in a distributed or multi-site organizationÂ
- Demonstrated success managing multiple concurrent events across different geographiesÂ
- Expertise in budget management, vendor negotiation, and contract coordinationÂ
- Excellent time management and attention to detailÂ
- Strong interpersonal communication and collaboration skillsÂ
- Comfort operating independently in a remote environment and taking initiativeÂ
- Ability to travel 10–20% for live events, typically in the western and southwestern U.S.Â
Â
