About the Role
Weâre seeking a tech-savvy, adaptable Operations Manager to join our Philadelphia team as a key player in IT support and operational compliance. In this hybrid role, youâll be part IT troubleshooter, part compliance coordinator, and part people-operations specialist, a true Swiss Army knife who can handle a bit of everything. You will be responsible for keeping our tech running smoothly and our company compliant: maintaining our SOC 2 security compliance, managing various insurance coverages, assisting with HR tasks like benefits enrollment, and jumping in wherever needed. (For the right candidate, weâre open to crafting an appealing title, whether you think of yourself as an âIT & Operations Specialist,â âTechnical Operations Associate,â or âTechnology & Compliance Coordinator,â we care most about your ability to wear many hats and get things done.) Note: This role is based in our Center City Philadelphia office and will require in-office presence at least 3 days per week (Mondays, Tuesdays, and Thursdays), with flexibility to work remotely on other days.
Key Responsibilities
- IT Support & Administration: Manage day-to-day IT needs and troubleshoot tech issues for our team. This includes administering our Google Workspace (G Suite) and Slack, setting up accounts and laptops for new hires, and ensuring office network/printer systems run smoothly. When colleagues have IT questions or problems, youâll be the go-to problem solver.
- SOC 2 Compliance Management: Oversee and maintain our SOC 2 compliance program. Youâll coordinate annual audits and security assessments, keep documentation up to date, and work with our engineering team to implement required technical controls (donât worry â you can lean on the engineers for the heavy technical lifting). Youâll essentially project-manage the compliance process to ensure we continue to meet security standards and pass audits.
- Insurance Administration: Take charge of managing the companyâs various insurance policies. This includes maintaining our corporate insurance (e.g. general liability, cybersecurity, etc.), our affiliated medical entityâs insurance coverage (the professional corporationâs insurance), and our Medical Directorâs malpractice insurance. Youâll handle renewals, paperwork, and make sure there are no lapses in coverage.
- People Operations Support: Pitch in with HR and people ops tasks to keep our team running effectively. For example, you will help manage our employee benefits enrollment and administration (health insurance, 401k, etc.), onboard new team members from an IT/operations perspective, and assist with other internal operations projects as needed.
- Ad-hoc Projects & General Ops: Embrace a âno task too smallâ mindset. From improving office processes to helping plan team events or handling vendor coordination, youâll tackle miscellaneous operational projects that come up in a startup environment. We might ask you to research a new software tool, document a process, or solve an unexpected problem, youâre the kind of person who gladly says âI got this.â
Qualifications
- Education & Experience: 5-8 years of professional experience in IT support, operations, or a related role. Early-career candidates who have worn multiple hats in a startup or small company setting will thrive here. A bachelorâs degree in Information Systems, Business, or a related field is preferred (or equivalent work experience).
- Technical Aptitude: Strong computer and technology skills are a must. Youâre comfortable managing common SaaS tools and admin consoles, experience with Google Workspace (G Suite) administration and Slack management is highly beneficial. You can troubleshoot basic hardware/software issues and are quick to learn new tools.
- Compliance Knowledge: Any exposure to security or compliance frameworks (especially SOC 2, and potentially HIPAA in healthcare) is a major plus. You donât need to be a security auditor, but you should be organized and diligent about following procedures. If youâve helped with an ISO or SOC2 audit or maintained documentation for one, thatâs a bonus. (Everything here is trainable, whatâs most important is the ability to learn and follow through.)
- Organization & Project Management: Excellent organizational skills and attention to detail. You can juggle multiple responsibilities, from renewing an insurance policy to coordinating an audit, without letting things slip through the cracks. Experience managing projects or vendors (even on a small scale) will help, since youâll coordinate across different functions.
- People Skills: You communicate clearly and can work effectively with colleagues across all teams. Whether itâs walking a non-technical teammate through a software fix or collecting info from engineers for an audit, you are patient and helpful. You handle sensitive information (like employee data or security documentation) with discretion and integrity.
- Quick Learner & Problem Solver: You have a proactive mindset and arenât afraid to tackle new problems. We value âlearn-it-alls, not know-it-allsâ â meaning youâre eager to learn whatever you need to get the job done. When faced with an unfamiliar challenge, you research, ask questions, and figure it out.
